Messaging Notifications

FormFlow can send a notification to your messaging platform whenever a customer submits a form. Supported platforms: Slack, Microsoft Teams, Twilio SMS, and WhatsApp Business.

Multiple messaging providers can be connected simultaneously.

  1. Go to Settings and open the Messaging tab
  2. Find the provider you want to connect and enter your credentials
  3. Click Test to send a test message and verify the connection
  4. Click Save

Once a provider is connected globally, enable it for a specific form in that form’s Integrations tab.

Sends a message to a Slack channel when a form is submitted.

Setup:

  1. In your Slack workspace, create an Incoming Webhook for the channel you want to notify (go to api.slack.com/apps, create an app, and enable Incoming Webhooks)
  2. Copy the webhook URL
  3. Paste it into the Webhook URL field in FormFlow Settings

Sends a message to a Teams channel when a form is submitted.

Setup:

  1. In Microsoft Teams, open the channel you want to notify
  2. Click Workflows (or the three-dot menu on the channel) → Post to a channel when a webhook request is received
  3. Follow the prompts to create the workflow and copy the webhook URL
  4. Paste it into the Webhook URL field in FormFlow Settings

Sends an SMS to your phone number when a form is submitted.

Sends a WhatsApp message to your phone when a form is submitted. Uses the Twilio API for WhatsApp — you need an active Twilio account with a WhatsApp-enabled sender number.

Getting a WhatsApp Sender Number:

  • For testing, use the Twilio WhatsApp Sandbox number (+14155238886). Go to Twilio Console → Messaging → Try it out → Send a WhatsApp message to join the sandbox.
  • For production, go to Twilio Console → Messaging → Senders → WhatsApp Senders and request a WhatsApp-enabled number or sender ID.

About WhatsApp message templates: For outbound notification messages sent outside an active conversation window, WhatsApp may require pre-approved message templates. For testing with the Sandbox, freeform messages work without approval.

Messaging providers are connected globally but enabled per form:

  1. Open the form in the Form Builder
  2. Go to the Integrations tab
  3. Find the messaging provider you want to use and toggle it on
  4. For Twilio SMS and WhatsApp Business, expand the tile and enter the Recipient Phone Number (the number that will receive notifications for this specific form) in E.164 format (e.g. +15551234567)
